Record Commission Deposits in Advance

When a Commission deposit comes in before user is ready to close a property, darwin Cloud has a feature that make it easy to record the deposit, and simultaneously, make the deposit visible to everyone on staff. This can be accessed by anyone that works with property records.

To add payment:

  1. Click Properties menu
  2. Use the search button to locate the property
  3. Click Basics
  4. Click add payment
  5. Enter check number
  6. Choose the date using the calendar button
  7. Enter payor
  8. Enter amount
  9. Click Save

The front desk staff that received and deposited the funds can repeat the process and record multiple prepayments on any property.

To add payment:

  1. Click Properties menu
  2. Use the search button to locate the property
  3. Click Basics
  4. Click add payment
  5. Enter check number
  6. Choose the date using the calendar button
  7. Enter payor
  8. Enter amount (balance)
  9. Click Save

When the accounting department closes the transaction, it often happens that multiple checks are received for deposit on a single transaction. The front desk staff that receive and deposit the funds can repeat the process and record multiple prepayments on any property.

When the accounting staff is preparing to post and close the property they will see that the total amount has been prepaid. Also, they will see that there is now no balance due on this closing.

To confirm the receipts of funds:

  1. Click Accounting submenu
  2. See list of payments under receipts

The user may also see that copies of the bank deposit slips have been uploaded and stored within the property record. The user can click on the hyperlinks to view the deposit.

  1. Click Documents submenu
  2. Click on the file name hyperlink/s

The system will store a record of when they actually viewed the receipt.

  2. Click the hyperlink under views column
