Protected Record Checkbox

This checkbox option in People > People basic screen allows certain person records to be locked for all edits.

Use case: Some companies have key vendor records that are important for their financial reports.  Users with access to the People screen can inadvertently make changes to these records or overwrite them.

Security User Setup Requirement

Create a custom security role: protected person

  1. Go to the Security menu
  2. Click the Roles submenu
  3. Click the new + button
  4. Add new role: protected person
  5. Click the start button

Add the security role action: People > Basics > Allow To Protect Person

  1. Click the actions tab
  2. Search and filter the not selected section to People > Basics > Allow To Protect Person
  3. Click the checkbox to give access to the role
  4. Click the save button

When adding a new person record, the setting is default to "not protected".

To protect a person record:

  1. Go to People menu
  2. Click the search button to open any person's profile
  3. In the People basics submenu screen, click the "not protected" button
  4. Click the yes button
  5. The person profile will update to Protected

When a person record is marked as Protected, all fields in the People submenus are grayed out and cannot be edited.
