Security: Add/Reset Users

Introducing a new enhancement to the Security section of our darwin Cloud—"Add/Reset Users." This update provides administrators with a streamlined and secure way to reset passwords and add new users in a controlled manner.

Key Updates:

  • The "Users" screen has been renamed to "Manage Users" for better clarity
  • "Add/Reset Users" submenu has been added under Security, designed specifically for password resets and limited user additions
  • A restricted system for adding new users ensures better security and controlled access.
  • Added User wizard simplifies the process of onboarding new users while maintaining necessary restrictions
  • Limited search functionality ensures only relevant results are accessible
  • The edit user setup wizard provides a guided experience for modifying user settings efficiently

These enhancements improve administrative control and security, making user management more efficient and secure

Password Reset for Existing Users (Available to All Users with Access to the Screen)

  • The "Add/Reset Users" screen allows authorized users to reset passwords for any user within their assigned Company and Office. This ensures:
    • Quick resolution of login issues without requiring additional escalations.
    • A secure yet accessible way for administrators to manage password resets.
    • Only users within the same Company and Office can be modified, maintaining security boundaries.

This feature is accessible to all users who have permissions to view the "Add/Reset Users" screen, making password recovery more efficient while maintaining control over access restrictions.

  • Adding new darwin Cloud users (available only to users with Owner or Super Admin roles)
  1. Restricted System for Adding New Users
    • Only Owner or Super Admin users can add new users
    • Users can only assign users to companies, offices, and bank accounts they have permission to view
    • A new user wizard will launch from the "new" button on the Add/Reset Users screen
      • This  button is enabled only for users with the role "Owner" or "Super Admin"

    1. create a new user starting with their username and password
      • username
      • email
      • password
      • password confirmation
  1. assign roles to the user
  1. assign company and office to the new user
    • Users will only see companies and offices they have permission to access
  1. assign bank accounts and voucher types to enable for the user
    • Only bank accounts that the user has permission to access will be displayed on this screen

NOTE: Clicking next advances to the next step, while clicking save saves the progress.

Limited User Search

  • Users will only be able to search for and view users belonging to companies and offices they have access to
  • The search results will not display users outside the logged-in user’s permitted scope, ensuring compliance with security policies

Displaying Search Results

  • After performing a search, matching user names will appear in a list on the right-hand side of the screen, similar to the existing layout on the main Security screen
  • This interface ensures a seamless experience while maintaining security restrictions

User Profile Management Options

Once a user selects a name from the search results, they will be taken to a limited user management screen, where user can:

Reset Password

  • Clicking on the "change password" button will trigger the usual password reset pop-up, allowing the user to update the selected user's password

Delete User Profile

  • The "delete" button will function as it does in other security-related screens, allowing authorized users to remove user profiles when necessary

Edit Limited User Information

Users with the appropriate permissions can edit the following fields for the selected user:

  • username
  • linked agent profile
  • first name
  • last name
  • email

When an Owner or Super Admin double-clicks a user’s name, the "edit user setup" wizard will open

  • Company, Office, and Bank Account restrictions will match those in the "new user" wizard
