How to Enable Onboarding Wizard Access for a User

To give staff members or agents access to the Onboarding Wizard:

  1. Go to the Security menu
  2. Navigate to the Roles submenu
  3. Select the role you want to modify
  4. Click the Onboarding tab
  5. Select the fields you want to display in the Onboarding Wizard
  6. Click Save to apply the changes

How to invite recruits to use the Onboarding Wizard

To request an automated onboarding invitation via email or SMS, users have two options:

  • Join the Email Campaign Q&A Session
    • Our specialists can walk the users through the setup process live and answer their questions.
    • Q&A Schedule:
      • Tuesdays at 2:00 PM EST
      • Thursdays at 1:00 PM EST
  • Submit a Ticket to Our Support Team
    • Send an email at [email protected] and include the details they’'d like to appear in the onboarding email or SMS (e.g., content of the email or SMS, links, contact info).
    • Our email campaign specialists will set up the email or SMS for them.

Tip: Providing clear and concise content for the message will help our team build your campaign more efficiently.

How to Customize Screens for the Staff On-Boarding Wizard

Admins can customize which screens or pages staff members can access in the Onboarding Wizard. This ensures that staff only see the sections relevant to their role and are able to complete only the necessary information.

  1. Go to the Security menu.
  2. Click on the Roles submenu.
  3. Select the desired Role from the list.
  4. Navigate to the Onboarding tab.
  5. Check the screens you want to display in the Onboarding Wizard for this role.
  6. Click Save to apply the changes.

How to Automatically Enable or Disable the “Is Onboarding Finished” Setting for All Agents

Darwin now allows the user to control whether the Onboarding Wizard pop-up appears when a new agent is added. This is managed through a new setting in the Application Settings section.

To Automatically Enable “Is Onboarding Finished” for All Agents:

  1. Go to the Settings menu.
  2. Select the Setup submenu.
  3. Click the Application Settings tab.
  4. Scroll down to the Miscellaneous section.
  5. Set the Is Onboarding Finished option to True.
  6. Click Save.

When set to False, the Is Onboarding Finished checkbox in People > Agent Basics will not be automatically checked. In this case, the user will need to manually mark the agent as onboarded to stop the Onboarding Wizard from appearing.

To Automatically Disable “Is Onboarding Finished” for All Agents:

  1. Go to the Settings menu.
  2. Select the Setup submenu.
  3. Click the Application Settings tab.
  4. Scroll down to the Miscellaneous section.
  5. Set the Is Onboarding Finished option to False.
  6. Click Save.

When set to False, the Is Onboarding Finished checkbox in People > Agent Basics will not be automatically checked. In this case, the user will need to manually mark the agent as onboarded to stop the Onboarding Wizard from appearing.
