The key to roles is understanding Actions and Reports. To define a role, all you have to do is decide which actions a role can perform and what reports a role can view.
Actions in darwin Cloud are clicks. So defining the actions allowed for a user means deciding what they can click on.
To setup Menus you need to understand Main menu and sub menu. Here are the Main menu buttons:
Here are the submenu buttons (each of the Main menu has its own sub menu).
When selecting actions for some roles, user can click any actions to allow anyone with the chosen role what to click in darwin cloud.

- Dashboard
- Formulas
Examples of submenu actions are:
- Dashboard > Analytics
- Dashboard > Overview
- Dashboard > Preferences
- Dashboard > Pull and Push
- Formulas > Accounting codes
- Formulas > Commission GL #
- Formulas > Commission plans
- Formulas > Deduct types
- Formulas > Deduction rules
- Formulas > Graduated scales
- Formulas > Totals
Submenu actions always have the symbol > before them as in:
- Dashboard > Analytics
- Dashboard > Overview
- Dashboard > Preferences
If Front desk staff person will be given all the property screens except the ones that have to do with money, user may setup the front desk role like this:
Notice that as you select items, they move from the not selected section to the selected section
After you have set the actions that are allowed for some role, anyone who logs in with that role, will have their screen modified to match your selections.
In darwin Cloud the layout of the screen never changes, but actions that are not authorized for are grayed-out and the user cannot click them. In the image below, some of the property screens related to money have been disabled because Front desk role is not permitted to use certain submenu buttons.
