Sometimes it happens that an agent gives a check for more money than they owe. In this situation, user have an overpayment.
- Click the Sales menu
- Click the Add Payments submenu
- User may use the search button to filter the results
- a new window will appear, choose accordingly
- Select company from the dropdown list
- Enter agent's name using the magnifying glass icon
- a new window will appear, enter a portion of the agent's name to locate
- Click search
For instance, agent Clarke Griffin gives $2,000.00 but the agent has only $1,500.00 open invoice
- If user click on the check box next to his unpaid invoice, it will record only $1,500.00
- Instead of clicking the box, user may type 2,000.00 in the payment field.
- System will change it back to $1,500.00. This is because user cannot receive a payment for more than what an agent owes. What user can do is to record an overpayment.
To record an overpayment when an agent pays more than they currently owe
- Click Sales
- Click Add Payments
- Click the overpayment button
- Select the company from the dropdown list
- User may use the search button to filter the results
- a new window will appear, choose accordingly
- Enter the description on memo/payee field
- Enter the check number
- Enter the date by typing in the field or select using the calendar icon
- Enter the amount $
- Click the post button
Apply an overpayment to an unpaid invoices
- Click the box to select the invoice that needs to be paid
- $1,500.00 invoice should be paid by the agent
- Type the -1,500 in the field to deduct from the $1500.00 given by the agent as overpayment
- Click the post button
- Click the yes button to record the payments made
- $1,500.00 will be deducted from the overpayment of $2,000.00 made by agent Clarke Griffin. The balance amount will now total to the actual overpayment which is ($ 500.00)
