Add a new Agent

Starting the process

To add a new agent darwin Cloud, take the following steps:

  1. Click the People menu
  2. Click the new button to start adding a new agent

Person Details: Select person type and enter details according to requirements

  1. Select Agent as a person type from the drop-down list
  2. Fill in the first name, last name in the field
  3. Select the company name from the drop-down list
  4. Enter email address (this information can be skipped and can be filled in once the agent profile is open)
  5. Enter phone number (this information can be skipped and can be filled in once the agent profile is open)
  6. Click the next button

Office: Select company and office

  1. Select company from the drop-down list
  2. Select office from the drop-down list
  3. Click the next button

Address: Select address type and enter required fields

  1. Select address type from the drop-down list
  2. Enter street#, street name, designation
  3. Enter zip to automatically populate city and state (user may also use the magnifying glass to search)
  4. Click the next button

Options: Optionally select data source, leadBy, and division. Or enter tax ID.

  1. Click add

People Basics

  1. Fill in the familiar name with the agent's first name
  2. Fill in the corporate name that was removed from company name.
  3. Check the box to use corporate name. This will get agent checks to print with the corporate name.
  4. Enter the email address in the field
  5. Enter the personal website of the agent in the url field (optional)
  6. Type in the birthday in the field or select it in the calendar from the drop-down menu (optional)
  7. Select the gender from the drop-down list (optional)
  8. Click save

To add an agent's address:

Click on + next to addresses

  1. Select Mailing as the address type from the drop-down list
  2. Enter the address details in the fields as needed
  3. Click the save button when done

NOTE: Multiple addresses can be added by clicking the + button next to addresses, then enter the address information.

Add agent's phone number:

  1. To add a phone number, click the symbol.
  2. Select the phone type from the drop-down list
  3. Enter the phone number
  4. Click the save button

NOTE: It is very important for the agent to have a mobile phone number. This can be added by clicking the + button again next to phone numbers.

Adding agent's social media account: (optional)

  1. Click the + button next to websites
  2. Select website type from the dropdown
  3. Enter the url
  4. Select content language from the dropdown
  5. Click save

People links

  1. Click the People links sub menu
  2. Select what type of 1099 the agent gets from the drop-down list
  3. Check the box that the agent gets 1099
  4. Enter agent's personal tax ID
  5. Enter corporate tax ID if agent will be using the corporate name
  6. Fill in the dates for the corporation start and corporation end
  7. Check the box if agent works full time and if it will show on internet
  8. Click save

To add a MLS ID:

  1. Click the + symbol
  2. Select MLS source
  3. Enter the MLS ID of the agent
  4. Select a feedSubTypeID
  5. Click the save button when done

NOTE: To add a multiple MLS IDs, just click the + symbol and repeat the steps.

Add agent to a contact group:

  1. Click the + button next to contact group
  2. Select group from the dropdown
  3. Click save
  1. Click the save button when done adding details in People links

There are many fields on the People links page that are auto-filled.  (like franchise sa quid) . Also, the people screens are not only used for agents.  As buyers and sellers, or mortgage companies, etc. are added by other software programs that darwin "talks" to - the ID values that link people between darwin and other software are displayed here.  The link values will be auto-added by darwin.

Agent Basics

  1. Click the Agent basics sub menu
  2. Enter the start date or click the drop-down menu to open the calendar to select the date
  3. If the agent is on the commission plan, enter the anniversary date by typing in the field or selecting it in the calendar from the drop-down menu
  4. Check the active box
  5. Fill in the career start when the agent started in the real estate business
  6. Fill in the brand start when the agent started in the brand or company

The start date is when the agent started with your company. The anniversary date is used for calculating their commission contract.

  1. Select the prior occupation of the agent from the drop-down list
  2. Select the prior affiliation of the agent from the drop-down list
  3. Fill in the education level the agent have attained from the list
  4. If applicable, select an agent team from the dropdown
  5. Select specialty
  6. Click the magnifying glass to pull up a person record for the following:
    • recruited by
    • coached by
    • managed by
    • emergency contact
  7. Type a portion of the person's name
  8. Click the drop-down box to limit person types in the search results
  9. Click search
  10. Double click the person name

To add a License:

  1. Click the + symbol next to licences
  2. Select the license type from the drop-down list
  3. Select the state from the drop-down list
  4. Fill in the issued and expiration date by typing the date or selecting it in a calendar from the drop-down menu
  5. Enter the license number
  6. Click the save button

To add a multiple licenses, just click the + symbol and repeat the steps.

To add an Insurance:

  1. Click the + symbol next to insurances
  2. Select the insurance type from the drop-down list
  3. Enter the expiration date by typing in the field or selecting it in the calendar from the drop-down menu
  4. Click the save button

To add a multiple insurances, just click the + symbol and repeat the steps.

Add preferences:

  1. Click the + next to preferences
  2. Select a preference from the dropdown
  3. Check the box is enabled
  4. Click save

Web profile

  1. Click the Web profile sub menu
  2. To add a web profile, click the + symbol
  3. Select a web category from the drop-down list
  4. Enter the profile text that describes the agent
  5. Click the save button

To add more profiles of the agent ( qualifications, awards, hobbies, credentials, etc. ), just click the + symbol and repeat the steps.

These descriptions of the agent are used for advertising the agent on the internet.

To add a Language the agent speaks:

  1. Click the + symbol next to languages
  2. Select a language from the drop-down list
  3. Click the save button

To add more languages the agent speaks, just click the + symbol and repeat the steps.

To add area of specializations:

  1. Click the symbol next to area of specialization
  2. Select an area of specialization from the drop-down list
  3. Click the save button

To add more area of specialization of the agent, just click the + symbol and repeat the steps.

To add a professional designation of the agent:

  1. Click the symbol next to designations
  2. Select the professional designation from the drop-down list
  3. Click the save button

To add more professional designations of the agent, just click the + symbol and repeat the steps.

Commission

  1. Click the Commission sub menu
  2. Select the current commission plan of the agent from the dropdown
  3. Select the next commission plan to apply if there will be changes in the agent's commission plan
  4. Enter the effective date when the next commission plan will start
  5. Click the save button

There are 5 columns on the commission page that you may never need to use.

  • % percentage - used when the agent pays a lower % than standard for the deduction
  • $ amount - used when the agent pays a lower dollar amount than the standard deduct
  • $ CAP - used if a deduction is designed to stop withholding at a threshold
  • % max - used if the office has a "never take more than %" for this agent
  • $ max - used if the office has a "never take more than $" for this agent
  • terminated date - used if the rules set on the deduction table will no longer apply

Add Agent Tracking Totals:

  1. Click the add tracking totals button
  2. Check the box of the totals that need to be added to the agent profile
  3. Click  add
  4. Select from the options for which agents the totals will be saved
  5. Click save

Add Agent's Prior Production:

  1. Type the production numbers in the following fields as needed:
    • prior AGCI
    • prior volume
    • prior sides
    • prior net

Add agent commission notes to show when closing a transaction:

1. Enter text for the commission reminder on the provided field

  1. Click the save button when done adding details in Commission page

Billing

To add an item that needs to be charged to the agent on a recurring basis:

  1. Click the Billing sub menu on the left to switch screens
  2. Click the + symbol to add a recurring billable items
  3. Select the items the agent pays on a regular basis by checking the box
  4. Click add selected items button
  5. Click save
  6. Select from the options where the billing items will be saved
  7. Click save

Add billing notes as needed:

  1. Enter billing notes on the provided field
  2. Click save

Overrides

To add a person who will get a check when the agent receives a check:

  1. Click the Overrides sub menu on the left to switch screens
  2. Click the + symbol to add an override
  1. Select from the dropdown on which sides the override will apply
  2. Using the dropdown for each field, fill in the following:
    • plan
    • transaction types
    • accounting code
    • agent generated or office generated
    • seller source
    • buyer source
  3. If an advanced criteria needs to be set up, click the ellipsis icon (...)
  4. Set limits when needed
  5. Click the magnifying glass for the pay to field to add a person that will received the override
    1. Type in a portion of the person's name
    2. Select the person type from the dropdown to narrow down the search
    3. Click search
    4. Double click the person name
  1. Select the office from the drop-down list
  2. Select the role. (example: Recruiter) from the drop-down list for the role
  3. Select account (example: 6-2011 - Recruiting exp) from the drop-down list as the account to be charged for classifying the expense of the override.
  4. Enter the percentage as the percentage to use for the calculation or fill in amount $ to  pay a fixed dollar amount
  5. Click the 3 dots button to add a formula. This step is for telling darwin to calculate the override as a percentage of what value.
    • For example: Double-click Company $ and the override will be calculated by multiplying the percentage you entered x the company $.  For more complex basis values, you can use formulas like:

      =[Company $] - [Franchise] - [Royalty]
  6. Click the save button
  1. Click the save button when done adding details for override
