Explanation of the pre-AT Historical Spreadsheet

Historical transaction information can be necessary for correctly calculating graduated or CAP plans.  You may also want this information in darwin so you can run your 1099s or so your agents will be able to see their prior production when pulling reports on themselves.  We have created a spreadsheet template to facilitate the import of pre-AT transaction data.

pre-AT Transaction spreadsheet data fields:

Required columns are marked in yellow.

qaControl1 - if you have a reference number for a transaction from your prior software that you want represented in darwin, you will use this column.

exclude duplicate, exclude from submission, company, status, propertyID - these are internal columns that we will fill out as needed.

property address - this will import into darwin as one field.  You can use street number and street address, or street number, street address, city, state, and zip if you have it.

closing date - the closing date of the transaction.

pending date - this is not required but can be entered if you have it.

estimated closing date - this is not required but can be entered if you have it.

selling price - must be filled in with a number, use 0 if there is no selling price.

list gross/sell gross - this value is the total gross commission of the transaction.  If there were two agents on the list side and each received $1000 commission, then the gross would be filled in as $2000 for both agents.

list referral amount/sell referral amount - this value represents a payment off the top of a transaction whether it be to an outside company or a person within the company.

list referral/sell referral name - this is required if an amount is filled in.  If you don't have the name, we will fill it in as "Referral Company".

type code - the default is residential so you only need to fill this in with a C if it is a commercial transaction.

accounting code (classification code) - the default is sale so you only need to fill this in if it is a referral or rental/lease (or other accounting code you have set up in darwin).

office - name of the office the agent is in.  If an agent has production in more than one office, then there must be a person record in darwin for each office.

agent name - we will review the names before importing and add any agents that aren't in darwin as terminated

adjusted gross - this value is the portion the commission the agent received on the transaction.

agent net - this value is calculated when we import the data into darwin but it should be filled in so we can make sure the numbers tie out to zero.

deduct columns - these columns represent the deductions you have set up in darwin.  These may or may not be the same as the deductions you used in your prior software.  One deduction column is required to calculate the agent net, so it is up to you as to how many deductions you want reflected in the data.

list side/sell side - referrals must be list side only.

list side/sell side volume - this is not required but can be entered if you want the volume reflected in darwin.

list side transaction count/sell side transaction count - this is a decimal value adding up to one.  If there is more than one agent on a side of the transaction, then you need to indicate what portion of the transaction each agent received.  50/50 = .5/.5 for example.


  1. Each agent on a transaction will have one line on the spreadsheet.  The import will create one property record in darwin if the property address and closing date are exactly the same.
  2. The list/sell gross must be the total gross of the transaction.
  3. The list side transaction count/sell side transaction count must equal one.
  4. Please do not alter the headers of the columns.
  5. If you use formulas in the spreadsheet you must remove them before the final import.
